7 Microsoft Word Tips and Tricks That Every User Should Know

Chances are that Microsoft Word is one of the applications you use the most. Whether you use it for school or work, you need to know how to use it well.

Time is of the essence. When you’re on a deadline, you need to complete your task on time. You don’t want to face any issues while working on Microsoft Word.

How can you make the most out of Microsoft Word? This guide has not one Microsoft Word tip, but 7 tips you can use. Read on to learn what the tips are.

1. Use Templates To Save Yourself Some Time

Time is valuable. When you have to create a special document or project, there’s no time to waste.

Let’s say you have to create a newsletter or a CV. How do you even start? The good news is that Microsoft Word provides templates for a variety of document types.

By using one of the templates, you’ll not have to do a lot of the heavy lifting. Formatting and layout will be set for you. All you have to do is add your touch to it.

To look for the templates, launch Word and click “New”. Under the “Blank document” option you’ll see some of the options available. If you know which template you need, you can use the search box to look for it.

2.  Convert Documents and Make Them Easier to Share

When you save a Word document, it’ll save it as a .docx file. What if you need to submit the document as a different type of document file?

You might need to submit a document as a PDF. To convert it into one, go to “File” then “Save As”. From there, you’ll choose the PDF option and click save.

You’ll see there are other options. You can save the document as a Rich Text Format or as an older version of a Word document.

3. Restore a Lost or Corrupt Document

Don’t you hate it when you spend so much time working on a document and a computer crash occurs? Your work is gone in a matter of seconds.

The good news is that you can restore it. Microsoft Word has a function that’ll save your work.

Look at the top-left corner and you’ll find the AutoSave function. Turn it on so it starts working.

After a computer crash, restart your computer. Open the document and you’ll see the Document Recovery panel. You should see the most recent version of your document there.

4. Protect Your Private Documents With a Password

Do you work with sensitive data? If you work in a doctor’s office, you need to adhere to the HIPAA Privacy Rule. This means you must protect documents that contain patient data with a password.

Microsoft Word lets you add password protection to a document. To add a password, click on “File”. Then click “Info” on the left-hand menu.

Click “Protect Document,” and then “Encrypt with Password” to enter a password. It’s a good idea to write it down. If you forget the password, you’ll not be able to recover it.

5. Use the Dictation Tool to Type by Speaking

One of the Microsoft Word tricks people don’t know about is the ability to type by speaking. On the “Home” tab you’ll find the “Dictate” button. This tool allows you to turn your speech into words.

This is a great tool to use if you need to take notes or transcribe interviews. To use this tool, your computer must have a mic.

You might need to go back and fix minor errors. This is a drawback of this tool, but using it’ll certainly save you time.

6. Use the “Focus” Mode

Do you find yourself having trouble concentrating while using Microsoft Word? There’s a way to reduce distractions while using it.

To keep your mind on your writing, consider using Word’s “Focus” mode. This will turn the document into full-screen mode. It’ll remove the buttons, so all that’s left is the page.

To use this mode, go to the “View” tab. Click on the “Focus” button to turn it on.

7. Sign Your Name on Any Document

One of the Microsoft Word hacks you need to be familiar with is the ability to sign your name on a document. You can draw your signature and add it to a document.

First, Click on the “Insert” tab at the top of the screen, and then click on the “Shapes” button. Look for the “Lines” section. Click on the icon that looks like a scribble.

This is a drawing tool that’ll turn the cursor into a crosshair. Click on the area of the document where you want to add your signature.

After you finish, you’ll see your signature converted into a picture. You’ll be able to move and resize it.

These Microsoft Word tips and tricks are great, but if you have a Mac, you might not own this software. There’s no need to buy Microsoft Word. You can get it for free.
